The Ultimate Checklist for Writing a Winning Post-Interview Thank-You Note

You just finished your job interview, and you’re convinced you made a good impression on the hiring manager. So, it’s just a matter of waiting for the call for a second interview. Right? Not so fast! You might have made it through the hard part of the process, but you’re not finished. If you want to give yourself the best shot at being hired, you need to write a thank-you note to your interviewers.

Sending a thank-you note will set you apart from the candidates who failed to realize how important this step can be. (Believe it or not, there are HR departments that will not even schedule a second interview until they have received a note). Keep in mind your thank-you note will arrive just about the time the hiring decision is being made. So the timing is perfect!

Before you write that all-important note, check out these suggestions to help you add to its impact:

  • Make it personal:

    Don’t just go through the motions and send a generic thank-you note. Shape your message to the specific hiring manager and company.

  • Do it quickly:

    No matter how you send it (regular mail or email), be sure it goes out within 24 hours of the interview.

  • Express your appreciation:

    Start off with something like, “Thank you so much for the opportunity to speak with you about this”

  • Mention something you talked about:

    Refer to something related to the job that the hiring manager expanded upon. And thank them for giving you a clearer picture of the position.

  • Reiterate your excitement for the job:

    Tie in your better understanding of the job with your excitement to work there. “Our talk confirmed my excitement for the position and your company.”

  • Tell them again why you’re a good fit:

    Many companies consider a cultural fit to be just as important as the right education and experience. Remind them why you believe you’ll be a good fit for their culture.

  • Next steps:

    Let them know you are looking forward to hearing from them, and thank them once again for taking the time to speak with you.

  • Contact information:

    Even though they already have your contact information, end your note with your phone numbers and email address.

A short, thoughtful note is all you’re looking for here.  If you follow these guidelines, your sincerity will shine through.
